Terms and Conditions of Entry

Event withdrawals and applications for transfers will be accepted via email or post only. Telephone notice of cancellation or transfer will NOT be accepted.

Cancellation policy

Refunds of entry fees will be made on the following basis:
Notice of cancellation given;

• More than 6 months from date of race – full refund less £5 admin fee
• Less than 6 months but more than 3 months from date of race – 50% of entry fee
• Less than 3 months from date of race – no refund

As an organiser we start to incur costs for the event from the moment the dates are booked. As the event draws closer ever increasing costs are incurred to the point where we cannot recover any of them, regardless of whether you race.

Change of event date

Should we require to change the date of the event, you will have 14 days to notify us of your withdrawal from the event and receive a refund less £5 admin fee, thereafter you will be held to the above terms.

Should we have to cancel the event you will be offered a place at one of our other events of equal value.

Transfer policy

If you wish to transfer your place to another person this should be completed using the online transfer process at least 28 days prior to the date of the event. For transfers within 28 days the new competitor must visit the registration desk at the event to register their details, this will be subject to a £5 admin charge.

Any competitors found to be running with a race number in another persons’s name or participating without a valid entry will be disqualified and may be blocked from entering any future events, This is in accordance with BTF guidelines.

For any transfers made within 28 days of the event date, the race pack and runners materials (such as race number) will use the original runner’s name.

Deferral policy

Requests to defer your entry to the same event in the following year must be submitted via e-mail at least 14 days before the date of the event. We reserve the right to refuse deferral of your entry at any point. A place which has been deferred to the following year may not be deferred again for another year.

By entering one of our events you accept that your name will appear in the official set of results published on this site and which will also visible on Results Base together with your gender, your age category and any club or group affiliation that you declared when you entered.

Covid Regulations

Although not a UKA affiliated event, we expect all participants and spectators to follow the UKA code of conduct found here and here.

All participants must comply with the NHS Covid-19 guidance. 

If you begin to feel unwell or show any symptoms of Covid-19 prior to the event, it is imperative that you self-isolate and DO NOT attend the event.
