Terms and Conditions

In these terms and conditions “RFR” refers to RunFestRun.
Tickets’ refers to Festival Weekend Passes, tickets for all activities and entries into sporting events. ‘Event’ refers to RunFestRun in its entirety.
There are some additional terms and conditions for sporting events and activities which are referred to separately below.
1. PURCHASING TICKETS
1.1 Tickets you purchase are for your personal use. Except as we may agree, you and your party must not re-sell or transfer (or seek to re-sell or transfer) the tickets in breach of the applicable terms. A breach of this condition will entitle RFR to cancel the tickets without prior notification, refund, compensation or liability.
1.2 A booking fee will be added to each transaction.
1.3 If there is a maximum order permitted per person, per card or per household and you order or buy more tickets than the maximum permitted we may cancel all of the order or tickets, in which case you will be refunded the ticket price and any booking, transaction or supplementary fees you have paid.
1.4 To prevent fraud and protect RFR and you, we may carry out checks and/or you may be asked to provide additional information (such as a copy of a credit or debit card statement) after your booking so we can verify your purchase. If we suspect fraud we may cancel any order or tickets.
1.5 An order for tickets is not complete until accepted by us. We try to ensure all prices are accurate but errors may occur. If we discover an error in the price of tickets you have ordered we will inform you as soon as possible and we may either cancel the order (in which case you will be refunded the ticket price and any booking, transaction or supplementary fees you have paid) or give you the option of confirming your order at the correct price.
1.6 You must inform RFR by email info@runfestrun.com, or any other agency through whom you have bought tickets, of any change of address, contact phone number or email address, both before and after receipt of the tickets. Our contact details are below. Our preferred method to contact you is email, so you should take care to provide a current, valid email address and be aware that your email filter settings may treat our emails as spam or direct them to your junk folder. If you are going to be away from home prior to the Event we recommend providing us with a mobile number. In the event of any changes which you need to know about we cannot be held responsible for not being able to contact you in these circumstances. See 2.6 below.
2. DELIVERY AND COLLECTION
2.1 Tickets will be despatched to you electronically in the form of a proof of booking.
2.2 Confirmation of ticket purchase should be received within 24 hours, you must bring your proof of booking to the Festival Weekend to exchange for your ticket/wristband.
2.2.1 Confirmation of ticket can be presented on a screen or as a printed document.
2.2.2 Failure to produce confirmation may result in entry being denied.
2.3 Always check your tickets upon receipt and advise us promptly of any errors. Mistakes when ordering cannot always be corrected and any corrections are discretionary.
3. CANCELLATION RIGHTS AND REFUNDS
3.1 Tickets cannot be transferred or exchanged once purchased other than for the reasons set out in these terms and conditions.
3.2 If the event takes place but you do not receive the tickets you have purchased for any of following reasons you will be refunded the ticket price and any booking, transaction or supplementary fees you have paid:
4. CANCELLATION, CHANGE OR POSTPONEMENT OF AN EVENT
4.1 RFR will do their best to inform you of any change to or cancellation of the Event, including any pre-booked activity or sporting event but cannot be held responsible for any resulting costs you may incur for travel, accommodation, any other related goods or service or other compensation.
4.2 You should always check that the Event or any of the pre-booked activities or sporting events are going ahead at the scheduled date, time and venue via the website at www.runfestrun.co.uk
4.3 If the Event is cancelled RFR will try to inform you. This will usually be by letter for phone bookings or email for online bookings. In urgent cases it may be by phone.
4.4 If a sporting event or activity which you have pre-booked is cancelled or changes are made to the start time or place RFR will try to inform you. This will usually be by letter for phone bookings or email for online bookings. In urgent cases it may be by phone. If you have not informed us of your correct contact details we cannot be held responsible for any missed activities or sporting events and no refunds will be provided nor any compensation for associated costs incurred.
4.5 If the Event is rescheduled or moved, RFR will usually give you the option of either exchanging your tickets for the new date/location, or alternatively claiming a refund.
4.6 If the Event is cancelled by RFR you will normally be offered a refund.
4.7 If any pre-booked activity or any sporting event is cancelled by RFR you will normally be offered a refund of that particular part of your booking.
4.8 In the event of a refund following cancellation, RFR will not be liable for any costs of travel, accommodation or other related goods or services
4.9 Changes to the Festival content are made at the sole discretion of RFR and any such changes will not incur any ticket refunds.
5. REFUNDS
5.1 If for any reason you are entitled to a refund, entry fees will be refunded as follows; up to (1 month prior to race date) 75% refund (less any ticket transaction fees), up to (2 weeks prior to race date) 50% refund (less any ticket transaction fees, After (2 weeks prior to race date) No refund.
5.2 Entrants wishing to withdraw must inform the organiser by email (info@runfestrun.co.uk), the date of the email will be taken as the date of withdrawal.  Telephone or Facebook messages are not acceptable.
5.3 Due to the nature of sports events we are unable to make exceptions for injuries or pregnancy.
5.4 Any refund will usually be paid, using the same method you used to buy the tickets, within 30 days of the original date of the event or the date that we receive your email requesting withdrawal, whichever is later.

5.4 No refunds will be offered under any circumstances if you fail to comply with the all terms and conditions applicable to those tickets, the venue or the event.
5.5 In all cases Results Base reserve the right to charge a small administration fee (typically £5) to cover costs associated with card repayments and refund administration time.
5.6 No refunds will be granted after one month has passed from the event date.
6. ATTENDING THE EVENT
6.1 Admission to an event is at all times subject to any terms, conditions or rules of RFR, the activity providers and the venue operator. If you breach those terms, conditions or rules then RFR may refuse admission or require you or other ticket holders to leave the venue.
6.2 Amongst other things you will need to comply with health and safety rules and any security requirements (including security searches for the safety of those attending the event). RFR have rights to refuse admission or eject you if you are involved with abusive, threatening, drunken or other anti-social behaviour, or carry offensive weapons or illegal or prohibited substances or make unauthorised audio, video or photographic recordings.
6.3 Before you finalise your booking, please read all the information that applies to the event Event and/or ticket. If you or any member of your party has particular requirements please raise these when booking and we will endeavour to address your query. There can be no guarantee that requirements can be met if notified at the Event.
6.4 When you receive your tickets check the details carefully.
6.5 Only those aged 18 or over will be able to buy or consume alcohol at the Event. The Event operates a Challenge 21 or Challenge 25 policy at the bars. If, in the judgement of the bar Operator, acting on behalf of RFR, you look younger than either 21 or 25 and yet you are 18 years or over you must have valid ID in order to purchase or consume alcohol. Without this ID you will not be served and if you persist in consuming alcohol you may be evicted from the Event.
6.6 You are not permitted to bring your own alcohol onto the Festival Site. If you are found bringing your own alcohol onto the Festival Site it will be confiscated or you will not be allowed entry. RFR cannot be held responsible for returning the alcohol to you or for refunding any costs incurred by you.
6.7 RFR reserves the right to search all bags for alcohol, drugs or other prohibited items, prior to entering the Festival Site.
6.8 The Event, including all activities and sporting events, are likely to be filmed and/or photographed for promotion after the event. By purchasing a ticket and taking part in the Event you are giving permission for your image to be used in any future promotion. These images and recordings remain the property of RFR and there will be no money paid to you if your image is used.
6.9 RFR can take no responsibility for the loss (including theft) or damage of any personal property or equipment which you bring to the Event.
7. PRIVACY
7.1 RFR will store your personal information and will use it to provide you with information regarding the Event and any activity or sporting event you have entered and other, similar events which we think may be of interest. Your contact details will never be passed to any other persons or organisations unless required to do so by law.
7.2 We will always respect your privacy and any personal communication between you and ourselves. We will always comply with United Kingdom data protection legislation.
7.3 If you make an online booking using this website, you will be required to input payment details, including the details of your credit or debit card. This information will be treated in accordance with our Privacy Policy
8. DISCLAIMER AND LIABILITY
8.1 Whilst we endeavour to ensure that the information in this website is correct as at the date it is posted, RFR does not warrant the accuracy and completeness of the material on this website and the information on this website may be out of date.
8.2 All details are subject to change and alteration at the sole discretion of RFR. See General Terms and Conditions for rules on cancellation and refunds.
9. GENERAL
The purchase by you of tickets and these terms and conditions (and any contractual or non-contractual matters arising in relation to these terms and conditions) are governed by English law and any disputes arising out of any transaction between you and RFR are subject to the exclusive jurisdiction of the English Courts.

ADDITIONAL TERMS & CONDITIONS FOR SPORTING EVENT ENTRIES

10. ENTRY AND INFORMATION
10.1 It is the participant’s responsibility to ensure that they are medically fit to participate in any RFR event. If you have any medical conditions which may affect participation you should consult your GP and then inform the event organisers of the situation. The RFR Team has the right to share this information with the medical team and marshals involved.
10.2 It is the participant’s responsibility to ensure that they have the correct equipment required for the event and also to ensure that it is in suitable working order. RFR will not take responsibility for injury caused by faulty personal equipment.
10.3 RFR has the right to refuse or cancel entry applications, alter the date, distance or route. If the event is cancelled due to circumstances beyond RFR’s control a partial refund will be given.
10.4 Entries are non-refundable and non-transferable, however consideration will be made to deferring entries into the same event in the following year.  Deferments will only be valid for 1 year.  If prior notice is given it will be at the discretion of the RFR Team whether a full refund or part refund or deferment will be given. You may be asked to give pay an additional administration fee of up to £10.
10.5 Your entry must not be transferred without the organiser’s consent, you must not allow another person to participate in your name. This can have serious consequences in the event of a medical emergency. You risk being disqualified and will be unable to compete in our events in the future.
10.6 It is the competitor’s responsibility to read all of the event information in full detail, RFR will not take responsibility for error as a consequence of competitors not reading pre-race information.
10.7 If an electronic timing chip is being used in your event and you lose this electronic timing chip during the event, you will be charged £10:00 for a replacement chip and this fee will be taken in the week following the event.
10.8 RFR cannot take responsibility for the loss of (including theft) or damage to personal possessions during the event. It is the participant’s responsibility to safeguard personal possessions.
10.9 It is the participant’s responsibility to ensure that they enter their details correctly when completing event registration.
10.10 By completing the registration process you are confirming that all of the information provided is correct.
10.11 Your details and email address will be stored by RFR and used to provide you with information regarding the event you have entered and other, similar events which we think may be of interest. Your contact details are taken and kept in accordance with our Privacy Policy. They will never be passed to any other persons or organisations
11. DELIVERY
11.1 A confirmation email will be sent by RFR confirming the tickets purchased. This email is proof of payment and confirmation of your entry or ticket.
