‘The Gurkha Welfare Trust – The Doko Challenge Terms and Conditions:

1. The event is set up and managed by a charity. All participants enter the event entirely at their own risk. The organisers shall not be liable for any injury or loss that participants suffer as a result of taking part in the event, except where an injury or loss results from negligence or omission on the part of the organisers.

2. By entering the event, you confirm that you are aware of the risks involved and the degree of fitness required to take part, and agree that you are physically capable of competing in the event.  You are advised to consult your doctor if in any doubt before undertaking any exercise programme or running event.  Participants aged 65 years or over, or who have a pre-existing medical condition, may be required to provide a doctor’s certificate stating they have a suitable level of fitness to participate in the event. 

3. All training plans, hints and tips information are provided in good faith, and it is recommended that all participants consult a doctor before embarking on any programme of physical activity.

4. Personal liability, medical, belongings/equipment or personal accident insurance is NOT provided by The Gurkha Welfare Trust.

5. All participants are expected to conduct themselves in a professional, courteous and respectful manner during their participation in the event.

6. All participants are expected to respect the land on which the event is being held. 

7. If at any time it is discovered that any Participant should have been ineligible to participate in the event (or if participation in the event should have been refused for any reason whatsoever), the organisers reserve the right to disqualify from/refuse entry to such participant to the event.

8. During the event, you must fully comply with the instructions of the organisers, safety teams, emergency services and marshals. 

9. By taking part in the event, you confirm that you are happy for your name and any footage or photographs taken during your participation in the event to be used by The Gurkha Welfare Trust, to publicise the event in the future or promote the work of the charity. This may include brochures, posters, leaflets, display boards, websites and other such appropriate material.  

10. If your personal details (address, email, contact number etc) change after you have submitted your application, you must notify the organisers immediately.  All personal information will be held in accordance with GDPR regulations.

11. The organisers reserve the right to refuse entry to the event, with no refund, to any participant who is under age restriction or is unable to provide proof of age when requested to do so by an event official. 

12. First aid facilities will be provided at the event. If you are treated by medical providers at the event, your details may be passed on to the organisers only for health and safety purposes, and to fulfil our legal obligations (including those under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 1995). 

13. By participating in the event, you agree to the terms and conditions above and the following disclaimer:
‘I declare I will abide by the age limits set for the event and will abide by all rules and instructions. I declare that I will not compete in the event unless I am medically fit to do so and that, in any event, I will compete at my own risk. I accept that the organisers, sponsors, and marshals will not be liable for any loss, damage, action, claim, costs or expenses, which may arise in consequence of my participation of the event, unless caused by their negligence’.

14. The participant acknowledges that places for the event are limited, and registrations for places have a direct impact on the organisation and logistics of the event. Places for this event are non-transferable. All registration fees are 100% refundable up to four weeks prior to the event date. If the participant does not attend on the day or fails to arrive at the start line after registration, they will receive no registration fee refund.

15. In the case of event cancellation or participant withdrawal from the event before reaching the start line, the participant must contact donors and ask if they are still happy for sponsorship monies to go to the organisation, and request for donation refunds to be issued if not. 

16. All participants acknowledge and agree that the refund scheme set out above is fair and reasonable and that this is a charity-led and managed event. The monies the organisers may retain in respect of any withdrawal represent a reasonable pre-estimate of the organisers’ loss in each case. 

17. The participant acknowledges and accepts that circumstances concerning the Event may change from time to time, for reasons outside of the organisers’ reasonable control or otherwise, without the organisers incurring any liability, and without any rights to withdrawal being accrued by the participant, save as otherwise set out in these terms and conditions. 

18. If the event is cancelled because of circumstances beyond the reasonable control of the organiser including, without limitation, extreme weather conditions, fire, storm, and/or flood, earthquake, explosion, acts of a public enemy, war, insurrection, terrorist act or threat of terrorist act, sabotage, epidemic, embargoes, strikes, the death of a leading member of the British Royal Family, the participant will not be entitled to any refund of the registration fee or any compensation of other losses, such as travelling or accommodation expenses. 

19. The organisers reserve the right to change the date of the event. In the event of such a change, and if the participant is unable to attend on the revised date, they have 14 days to inform the organisers in writing from when the change in date is announced, to receive a refund of their registration fee.

20. The organisers reserve the right to alter the start time of the event. In the event of such a change, the participant will be notified of the revised start time with as much notice as reasonably practicable. No refund, in full or in part, shall be made in this circumstance.

21. The participant understands that the amount of funds raised individually or as a team does not include the sums paid as registration fees, nor the funds which may be subsequently reclaimed by the charity in Gift Aid. 

22. All participants must endeavour to ensure all funds be paid to The Gurkha Welfare Trust by the fundraising deadline of 27th June 2021.

22a.   Financial management of The Gurkha Doko Challenge is through Gurkha Welfare Trading; a wholly-owned trading subsidiary of The Gurkha Welfare Trust with all profits transferred to The Gurkha Welfare Trust.

23. The participant agrees that no funds raised will be paid to any charity other than The Gurkha Welfare Trust. 

24. The organisers cannot be held responsible for any issues resulting from food allergies. 

25. There will be no water stations around the course. Water will be provided for participants at the Finish Line only.

26. The organisers will endeavour to provide an Event finish time for the participant on the day, however, they cannot be held responsible for any computer result anomalies or any technical malfunctions.

27. The Doko baskets are property of The Gurkha Welfare Trust and are hand-made in Nepal. The Gurkha Welfare Trust team will check each basket before the event for quality and safety. The organisers will do everything reasonably practicable to ensure the basket is suitable for the event. Participants are asked to treat the Doko baskets with care and return them after the event.   

28. Doko baskets fit the participants via shoulder straps (like a backpack) and a head strap which goes over the forehead. Participants MUST take part in and listen to the briefing before the start of the event on how to use and wear the Doko safely. If a participant does not wear the Doko safely as instructed, they may be asked to leave the challenge by the organisers. 

29. All participants are requested to use their best endeavours to raise money for The Gurkha Welfare Trust by participating in The Doko Challenge. Fundraising support and contact details are given on The Gurkha Welfare Trust website. https://www.gwt.org.uk/

Covid-19 Update 
In additional to our event health based requirements, we must insist that you must not attend the race under any circumstances if you are displaying, have displayed in the last 14 days, or have been in contact with anyone displaying the following symptoms* in the last 14 days:
  • a high temperature – this means you feel hot to touch on your chest or back
  • a new, continuous cough – this means coughing a lot for more than an hour, or 3 or more coughing episodes in 24 hours (if you usually have a cough, it may be worse than usual)
  • a loss or change to your sense of smell or taste – this means you’ve noticed you cannot smell or taste anything, or things smell or taste different to normal
By attending the race, you are declaring that you are free from all of the symptoms listed above, have been free for 14 days prior to the event date (Doko North 23.05.2021 and Doko South 06.06.2021), and have not been in contact with any person displaying any of the above symptoms in the 14 days prior to the event dates (Doko North 23.05.2021 and Doko South 06.06.2021).

Following Government guidelines on COVID-19, upon enrty to the event site, you will be greeted by our team, who will temperature check your forehead to ensure you comply with the UK Gov maximum core temperature.

f you are over, you will be turned away and will not be able to race. If you are someone who has a valid medical reason to have a high body temperature, you will need to bring a copy of a doctors letter.

You will be required to wear a face mask upon entering the event site. Like the temperature check, if you have a medical reason as to not wear a face mask, you will need a doctors note to support this, or you will not be allowed in. 

In addition to measures taken by the company to help ensure the event is COVID-19 secure, entrants have a responsibility to maintain social distancing for the duration of the event.

The organisation will take every precaution to ensure the event is conducted in a COVID-19 secure manner in accordance with current UK Gov guidelines. This includes social distancing throughout the event along with the use of PPE, temperature checks and hand sanitizing stations. The company cannot be held liable in the event of an entrant contracting COVID-19 in association with this event.

As part of our track and trace obligation, in additional to our privacy policy, we will share your information into Track and Trace if requested by the UK Gov track and trace system.
